Quebec restaurant owners need to prepare for a significant transformation in their billing procedures. As you may already know, a new technology is about to change the way transactions are recorded in the restaurant industry. The current mandatory billing system, widely known as “SRM”, is giving way to a more advanced version, WEB-SRM.

WEB-SRM will now integrate into Point of Sale (POS) systems, replacing the current physical modules. This technology must be implemented in all restaurants by May 31, 2025.

What exactly is WEB-SRM?

WEB-SRM is a cloud-based technological solution for mandatory billing in restaurants. The new system retrieves transaction data from your certified sales recording system, validates and securely stores it, and then transmits it to Revenu Québec.

Starting November 1, 2023, all new restaurants must adopt it, while existing establishments have until May 31, 2025 to migrate. This new method allows replacing the outdated Sales Recording Module (SRM) with a more efficient solution, thus facilitating administrative formalities.

Advantages of migrating to WEB-SRM

Although the WEB-SRM is mandatory, this new solution brings significant benefits to Quebec’s restaurants:

  • Cost Reduction: There’s no longer a need to purchase physical SRM equipment, which cost over $2,000.
  • Space Optimization: No need to dedicate specific space for this equipment.
  • Continuous Reports: As data transmission is continuous, there’s no longer a need for monthly report preparation for each SRM.
  • Digital Invoices: The new system will enable restaurateurs to send invoices via text or email.
  • Minimal Maintenance: No more worries about repairing or replacing the SRMs.
  • Financial Incentive: A $700 incentive per SRM will be offered for SRMs acquired after November 1, 2021.

The challenges of the transition

The transition to WEB-SRM is a major issue for many restaurateurs, especially those who are not very comfortable with technology. The complexity of technical aspects, apprehension about incurred costs, and change management are sources of concern.

Moreover, the imperative to comply with deadlines to avoid penalties and fines adds pressure. This situation is even more delicate as most restaurants use a variety of methods to manage orders and payments, ranging from traditional POS systems to delivery platforms like Uber Eats and Doordash. Adapting to a unified platform like the WEB-SRM thus requires significant reorganization and an upgrade of their current systems to effectively meet this new technological standard.

In this context, as a certified partner of the WEB-SRM, the Veloce POS system is committed to ensuring a smooth and rapid transition for its restaurant clients, offering expertise in integration to meet the new provincial requirements.

Veloce will handle the compliance of all your distribution channels: table, counter, delivery via phone or web, drive-through service, and digital platform orders like UberEats.
